Generative AI Policy

 

For Authors, Reviewers, and Editors

This policy governs the use of generative artificial intelligence (AI) technologies  including but not limited to large language models (LLMs) such as ChatGPT, Claude, Gemini, and similar tools  in the manuscript writing process, the peer review process, and the editorial process at Jurnal Permukiman. This policy applies to all authors, reviewers, and editors involved in the publication process of Jurnal Permukiman, and has been developed with reference to good practices adopted by international scholarly publishers, for example Elsevier and Taylor & Francis.

1. General Principles

  • Generative AI may be used as an assistive tool, not as a substitute for the critical thinking, expertise, and scholarly judgment of authors, reviewers, or editors.
  • Final responsibility for the content of a manuscript, review report, or editorial decision rests entirely with the responsible human party (author/reviewer/editor), not with the AI tool used.
  • Any use of generative AI that influences the content, analysis, or preparation of a manuscript/report must be disclosed transparently in accordance with this policy.

2. Policy for Authors

  • Generative AI and AI-assisted technologies should only be used in the writing process to improve the readability and language of the manuscript. Basic grammar and spell-checking do not require disclosure.
  • Generative AI tools may not be listed as an author or co-author of a manuscript submitted to Jurnal Permukiman. Authorship requires responsibility and accountability that can only be attributed to a human being, including approval of the final version of the manuscript and willingness to be accountable for the entirety of the work.
  • Generative AI must not be used to create or alter images representing primary observed, measured, or experimental field data  such as photographs of settlement conditions, survey results, satellite/drone imagery, or other field documentation. Adjustments to brightness/contrast may only be made using standard image-processing software, not generative AI.
  • If generative AI is used in the preparation of a manuscript (beyond basic grammar/spell-checking), authors must include a disclosure statement in the “Declaration of Generative AI Use” using the following format:
    “During the preparation of this work, the author(s) used [TOOL NAME] in order to [STATE PURPOSE]. After using this tool/service, the author(s) reviewed and edited the content as needed and take full responsibility for the content of the published article.”

3. Policy for Reviewers

  • Reviewers must not upload a manuscript under review, or any part of it, into a public generative AI tool (e.g., consumer versions of ChatGPT, Gemini, etc.). Doing so risks breaching confidentiality and the intellectual property rights of the authors, given that unpublished manuscripts are confidential.
  • Reviewers may use generative AI in a limited, supportive capacity  for example, to improve the language and structure of a review report that the reviewer has already drafted  while maintaining full human oversight of the output and using only private AI tools (tools that do not retain, reuse, or learn from the content submitted).
  • If generative AI is used in the review process of a manuscript (beyond basic grammar/spell-checking), the reviewer must include a disclosure statement using the following format:
    “During the preparation of this report, I used [TOOL NAME] in order to [STATE PURPOSE]. After using this tool/service, I reviewed and edited the content as needed and I take full responsibility for its content.”

4. Policy for Editors

  • Editors must not upload a manuscript under process, or any part of it, into a public generative AI tool, in order to protect the confidentiality of the editorial process.
  • Editors remain fully responsible and accountable for the entire editorial process and the final decision on a manuscript.
  • Generative AI may only be used in a supportive capacity, such as improving the language or structure of decision letters, and only private AI tools may be used.

5. Other Provisions

  • This policy does not prohibit the use of AI in the research design or data analysis stages of a submitted manuscript, provided the method is transparent, reproducible, and explained in the Methods section.
  • Violation of this policy (e.g., failure to disclose significant use of AI, or listing AI as an author) may result in manuscript rejection, a request for revision, or action under Jurnal Permukiman's applicable publication ethics policy.
  • This policy will be reviewed and updated periodically in line with developments in AI technology and international scholarly publishing best practices.
